They will act as a trusted partner and gatekeeper, exercising sound judgment and discretion while helping leaders prioritize and deliver on key commitments.This role will perform advanced, diversified and highly confidential duties that may be administrative in nature or project based. Strong communication and interpersonal skills are required as this role will frequently require coordinating with other Executive Assistants and professionals to coordinate meetings and frequent travel.  Key Responsibilities:Exercises judgment in deciding when to act on behalf of the EVP and CCO and when to refer issues for their personal attention.Maintains a highly dynamic and frequently changing calendar, coordinating meetings including hybrid and teams calls across multiple time zones and at times, on an urgent basis or outside of standard working hours.Proactively manages and continuously re-prioritizes the EVP and CCO’s calendar in a fast-paced environment, liaising regularly with other C-suite Executive Assistants to resolve conflicts, align shifting priorities and ensure seamless scheduling Co-ordinates complex and frequent travel arrangements, including flights, accommodations and ground transportation; actively tracks itineraries and proactively recommends adjustments based on delays, cancellations, weather or evolving business needs beyond regular business hours as required.Anticipates the needs of the EVP and CCO, plans ahead and is resourceful in a high-demand, rapidly changing environment that at times requires off hours engagement.Handles details of a highly confidential and critical nature.Collects and prepares information for use in discussions/meetings of executives or presentations to the board or for external use.May prepare high-quality, executive level PowerPoint presentations and Word documents. Tracks and prepares expense statements and assists with expense reimbursement for the EVP and CCO with a high degree of accuracy and timeliness.Assists in the coordination of team events (planning, logistics, attendee confirmations, etc.) as requested. Manages event requests, invoices, and budget as needed.Continuous improvement mindset; considers ways to utilize AI tools and technology to create greater efficiency and improve productivity in administrative tasks. Other duties as required.Qualifications:Minimum 7+ years’ experience supporting C-Suite executives with the ability to navigate the organization and network with other Executive Assistants to effectively support leadership.Demonstrated ability to build trusted relationships and influence through sound judgment, discretion, and professionalism.Proven experience interacting with senior leadership, Board of Directors, and high-profile stakeholders while maintaining strict confidentiality.Advanced technology proficiency, including Microsoft Office (PowerPoint, Excel) and digital tools to support paperless workflows and team collaboration.
