DEPARTMENT OVERVIEW: Estates Settlements is a center of excellence within Strategic Operations & Operational Oversight, a division within Wealth Management Operations. The Estates Settlement team delivers the full end-to-end experience from supporting the initial estate administration, settling an estate, to supporting the Advisor in retaining assets. The team is responsible for all administrative accountabilities and contact center support to Advisors and Executors as they go through the estate process. The primary objective of the team is to deliver client centric, holistic experiences to these client segments through high-touch experiences, operational excellence, digital solutions, continuous improvements and collaboration with internal business partners. We service clients and advisors across Canada and currently have servicing teams within Winnipeg and QGO campus locations.

 

POSITION SUMMARY: The Estate Senior Specialist serves as a subject matter expert and key escalation point for complex cases, providing guidance and support to the team. This role is responsible for identifying and removing cross-functional roadblocks, while driving governance and continuous improvement efforts. The Specialist actively contributes to Estates projects and initiatives, ensures training readiness, and maintains up-to-date learning resources. In addition, they own knowledge management practices by identifying gaps, updating content, and developing targeted plans to address capability and knowledge deficiencies across the team.

 

DUTIES INCLUDE:

  • Act as a subject matter expert (SME) and escalation point for complex estate cases
  • Provide guidance, coaching, and support to team members as needed
  • Identify and remove cross-functional roadblocks and operational bottlenecks
  • Drive and support continuous improvement initiatives, ensuring appropriate governance and consistency
  • Actively participate in and contribute to Estates projects and strategic initiatives
  • Ensure training readiness by maintaining and enhancing learning materials and resources
  • Own and maintain knowledge management content, including identifying and addressing knowledge gaps
  • Develop and implement plans to address capability and knowledge deficiencies across the team
  • Partner with stakeholders to improve processes, enhance efficiency, and support overall team performance

 

QUALIFICATIONS

  • Estate-related experience and/or knowledge of tax principles is required
  • Minimum of 4 to 7 years’ experience in the financial services industry
  • Post secondary degree/diploma in a business discipline with relevant securities or financial services courses (IFIC, Canadian Securities) or willingness to acquire within 1 year.
  • Knowledge of core products, services, policies & procedures for IGWM
  • Ability to work collaboratively with our internal and external partners related to initiatives specific to Estates Settlements.
  • Strong working knowledge of core systems supporting estate operations (Salesforce, Rbroker, SAS)
  • Demonstrated analytical thinking, problem-solving, and sound decision-making skills
  • Ability to communicate clearly and effectively with diverse audiences
  • Strong client service orientation with a focus on delivering high-quality support
  • Strong attention to detail combined with effective prioritization under tight timelines
  • Being bilingual (French + English) is an asset for this role.

 

 

ADDITIONAL INFORMATION:  Overtime may be required based on volumes

 

Knowledge of French and English is required to support clients and Team members within and/ or outside the province of Quebec.  

 

The expected annual base salary range for this role is $56,000 – $80,000, which is determined based on skills, knowledge and experience and geographic location. In addition to base salary, this role is eligible for annual short-term incentive, health and well-being benefits, retirement and savings plan, paid time off and career development.
