What you will do:

  • Prepares, checks, processes, and/or assists with various operating reports required to align with Company and/or governmental agencies.  May include environmental, fleet system, fuel usage, ROW reports, Safety and Health documents and reports, and other miscellaneous plant/field reports as necessary.   

  • Prepares and/or assists in research and preparation of requests for information, special projects and reports requested by Environmental Health and Safety (EHS), and Right of Way (ROW) departments.  Involves researching, analyzing and compiling data.

  • Maintain All Forms Filing System which includes all DOT Forms

  • Files and maintains various forms, reports and correspondence according to the rules/regulations/guidelines for EHS, and ROW departments.  Assists supervision/management and other employees in maintaining files and reports.

  • Miscellaneous Duties and Responsibilities

  • Familiar with Company security and Safety measures.  May receive emergency phone calls and know appropriate procedures to follow and personnel to contact.

  • Assist with training of Area employees in the utilization of automated systems, new computer applications and administrative procedures and forms. Maintain Area-wide training matrix report.

  • Provide updates to Area Emergency Response Manual updates annually.

  • Processing employee expense reports monthly.

  • Assist with procurement of goods and services for all facilities at the direction of Area Manager.

  • Assist with monthly Safety Meetings and recording meeting minutes

  • Ordering and maintaining inventory of office supplies area wide

  • Performs other general office duties as necessary including typing, using personal computer applications for data entry and accessing reports, mail handling (incoming and outgoing packages), filing and receiving messages. 

Who You Are:

You have the following education and/or experience:

  • A high school diploma or equivalent

  • This is an intermediate level administrative role and would have a minimum of one year of directly related experience or equivalent certification.

  • Basic understanding of common office software and equipment.

Preferred Experience:

  • Must be able to demonstrate proficiency in Microsoft Office Products such as Word, Excel, Access, PowerPoint or their equivalent.

  • Possess excellent skills in oral and written communication, problem solving and reasoning as well as interpersonal skills.

  • Capable of multi-tasking, handling numerous concurrent activities and working within deadlines.

Physical Requirements:

  • Include but are not limited to: Balancing, bending and stooping, climbing, crawling, carrying ( up to 25 amount of pounds), grasping, kneeling, lifting (objects 25 pounds), pulling hand over hand, pushing, reaching above shoulder, repetitive motion, sitting, standing, walking, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement, grasping, kneeling, light – moderate lifting (objects up to 25 pounds), reaching above shoulder, repetitive motion, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement.

  • Include but are not limited to: Ability to: understand, remember and apply oral and/or written instructions or other information, understand complex problems and collaborate/explore alternative solutions, organize thoughts and ideas into understandable terminology, organize and prioritize work schedule on a short-term basis, make decisions which have moderate impact on the immediate work unit and monitor impact outside this area, understand and follow basic instructions and guidelines, complete routine forms, compose letters, outlines, memoranda and basic reports and communicate with individuals via telephone.
