What You Will Do:

Responsible for occupancy planning and space programming for build/construction projects to ensure client requirements are achieved efficiently within project scope, budget, and timeline.

Maintain accurate space plans and occupancy data in the Facilities database and provide necessary reports.

Develop space and/or occupancy solutions aligned with the Occupancy & Space planning master guidelines and strategy that address internal clients’ occupancy/relocation requirements.

Meet and collaborate with clients to develop options, negotiate solutions, and manage client relationships effectively.

Coordinate with build/construction teams in delivery of approved solutions and effectively manage client expectations and keep them informed on status.

Act as the main client liaison for the Occupancy & Space planning team within the designated portfolio to ensure high quality service of internal clients.

Develop occupancy and migration plans ready for execution.

Deliver high-quality reporting and analysis to enable data-driven decision-making and solutions.

Instruct clients within the designated portfolio on space and occupancy policies & procedures, and inform the direct Manager if they are not being adhered to.

Ensure occupancy planning activities align with corporate guidelines and consistently propose scenarios that improve the use of space.

Develop recommendations for furniture reconfiguration or space modifications to meet business needs and that align with space planning and design guidelines.
Who You Are:
You have the following qualifications and skills:
-
University degree or technical diploma in Business, Facilities management, Architecture, Construction, Interior Design, or a related field.

4+ years of experience in occupancy or space planning OR equivalent combination of formal education and certification will be considered.

Intermediate to advanced skills in Microsoft Excel (pivot table, V-lookup, charts, formulas) and Microsoft PowerPoint (graphics, layouts, storytelling).

Strong written and verbal communication, presentation, interpersonal, and organizational abilities.

Excellent customer/client emphasis combined with the skill to listen, pinpoint key issues, deliver strategic recommendations, and preserve confidentiality.

Sharp analytical skills to quickly analyze complex situations, determine key issues, and implement clear, targeted documentation and plans.
-
Strong project management abilities and research skills in the subject matter field.
-
Proven ability to develop and maintain relationships with key collaborators, internal and external.

Proficient interpersonal capabilities involving consultation, negotiation, facilitation, risk communication, and conflict resolution, along with the ability to guide outcomes.
Preferred:
-
Working towards Project Management Certification or enrolled in related program considered an asset.

Experience using Tango or other Computer Aided Facilities Management (CAFM) systems considered an asset.

Ability to comprehend Architectural drawings and referral plans.
