Enbridge has a fantastic opportunity for a highly organized and proactive Office Facilities Coordinator to oversee workplace operations and provide a broad range of office services coordination to 3 Edmonton office locations. This position is focused on helping design and execute Workplace Services processes and procedures and collaborating with the Real Estate team to ensure seamless integration of workplace strategies with property planning, space optimization, and overall employee experience. You will require application of good judgement and critical thought to unique or ambiguous situations, ability to apply problem-solving skills and sound decision-making to achieve desired outcomes.

What You Will Do:

  • Oversees and coordinates repairs and maintenance activities with vendors such as HVAC, plumbing, electrical and cleaners to ensure a smooth operation of services in the office.

  • Liaises with the property managers on building issues and events that impact the Enbridge offices.

  • Addresses employee concerns and questions via email and in person related to requests and questions regarding the office space and services.

  • Generates Workplace Services related communications to building occupants by reviewing & editing contents and determining appropriate audience and timing of distribution.

  • Coordinates ergonomic equipment including ordering chairs and tracking requests in the internal system.

  • Supports incident management by following the WPS incident response plan including using the mir3 notification system.

  • Performs Project Management (Strategic Level) accountabilities.

  • Assists with space integration and floor reconfigures.

  • Utilizes technology such as SharePoint, Tango and Mir3 in day-to-day operations.

  • Executes Vendor Management (Strategic Level) accountabilities including:

    • Mail, Courier, Print, Catering Services, Coffee, Maintenance Vendors

    • Track mandatory safety training to ensure compliance. 

    • Ensure hazard assessments are completed.

  • Performs ad hoc duties such as but not limited to office moves of all scales, support the execution of coordinate floor commission, and decommissions.

  • Supports the execution and tracking of ergonomic equipment.

Who you are:

  • Related university degree or technical diploma with limited experience OR a combination of related certification and a minimum of five years directly related experience in facilities coordination, office management or a related field.

  • Strong understanding of workplace operations and building systems management.

  • Excellent organizational skills and attention to detail.

  • Good interpersonal and communication skills to interact effectively with employees, vendors, and building management.

  • Proficiency in workplace management software and basic office tools (e.g., Microsoft Office Suite).

  • Experience with budget management and vendor negotiations and familiarity with health, safety, and environmental regulations is preferred.

  • Ability to pass Security Clearance (upon hire).

  • Able to work on-site, in the office, 4-5 days per week.

  • Certification in facilities management or property management (e.g., FMP, IFMA) is an asset.

  • Typical office environment.

  • Fast paced office environment with multiple, concurrent activities and projects.

  • Some duties outside of traditional business hours as required to manage moves and maintenance (will be on a rotational basis with other team members).

  • Travel to other Enbridge office locations within Edmonton, approximately 10%.
